Role Description and background of the Scheduling team

Scheduling is a key process within the consulting function, lies at the heart of all processes and has a considerable effect on the profitability of the practice. The Scheduling team is led by a Senior Partner and consists of 5 Resource Managers. The team works closely as an integrated unit.

The aim of the Scheduling team is to:

  • Ensure that client organisations are provided with the best teams of people, combining industry experience with technical knowledge to ensure maximum commercial advantage;
  • Ensure that practitioners are appropriately matched to jobs which are challenging and developmental;
  • Assist in satisfying practitioners’ needs and aspirations for career development;
  • Ensure that there is flexibility in the system to cope with any unplanned resourcing needs when new work has been won;
  • Provide up-to-date management reports on availability and forecast utilisation to management on a weekly basis.

In short, efficiently managing practitioner time to ensure client satisfaction, optimising utilisation and profitability are all key to the success of the Scheduling team.

Responsibilities as a Consulting Resource Manager

  • Ability to manage the resources in a number of Service Lines (circa 150+);
  • Effectively utilise resources to meet client needs. Liaise with senior members of the practice to ascertain clearly, and in detail, their resource requirements;
  • Develop long term relationships with key decision makers and attend Leadership meetings. Liaise with partners and industry groups to deliver creative solutions to resource problems;
  • Allocate practitioners to assignments (which may be client work, internal projects or proposals) and communicate decisions to staff;
  • Ability to resolve resourcing conflicts at an individual level whilst maintaining relationships and credibility with an ability to provide a sound business case to justify decisions where appropriate;
  • Work with Service Line Leaders to determine practitioner forecasts of chargeable and non-chargeable work and resolve any discrepancies;
  • Prepare weekly management reports on availability and forecast utilisation. Interpret data, identify trends and relate this to the needs of the Business. Identify and highlight grade and skills shortages;
  • Review monthly variance reports comparing practitioner forecasts of chargeable work against actual client work charged;
  • Build strong relationships with practitioners and be aware of practitioner career aspirations and development needs. Work closely with HR and Counsellors and advise on any performance and/or work-life balance issues;
  • Induct all new joiners in the resourcing process, present at the experienced hire induction programme and service area events as necessary;
  • Act as a mentor and coach to junior team members and provide support to the Resourcing Team Lead as required.

Requirements as a Consulting Resource Manager

For this vacancy we are searching for someone who has:

  • Completed a bachelor degree;
  • A minimum of 3 years' professional work experience: scheduling/staffing or recruitment (of which at least one year should have been gained in a medium to large sized organisation);
  • Computer literate, in particular a working knowledge of Windows, Word and Excel;
  • Proactive and creative approach to problem solving - ability to 'think outside the box', must be numerate and well organised;
  • Must demonstrate an ability to work on detail and identify discrepancies;
  • A diligent and conscientious approach to carrying out work is essential;
  • Strong written and oral communication skills; with an ability to draft own correspondence.
